Exhibitor Service Manual

The Exhibitor Service Manual is now available!  The Exhibitor Service Manual is jam-packed full of marketing ideas and resources, as well as all of the logistical information you need to make your show a success.  A copy of the manual on CD was sent to all exhibiting companies.  If you need additional copies of the manual on CD, please contact Sarah Martino.

The manual is also available online at www.GoIPCShows.org/manual.  

Be sure to review all Show Policies and Regulations - particularly the fire regulations, display regulations, and hanging sign regulations prior to designing your booth.

Hotel Material Handling Incentive

Staying within IPC’s room block at an official hotel automatically qualifies your company for a credit towards material handling at the event. All you need to do is complete the Hotel Material Handling Incentive Form, and return by March 10, 2008.

For every room night your company occupies within IPC’s room block at any of the hotels listed below during the 2008 event, the General Service Contractor will issue a credit towards material handling:

  • Excalibur
  • Luxor Las Vegas
  • Mandalay Bay
  • MGM Grand Hotel
  • Tropicana Las Vegas


The more room-nights you use, the more FREE material handling you earn. This offer is only good as long as the IPC hotel room block lasts. Once the blocks are sold out this offer is no longer available, so act now!

How much credit will I receive?

Exhibitors will receive a credit of $11.70 per paid room night — that’s approximately 30 lbs. of material handling!

Capital equipment manufacturers bringing equipment can request a credit of $22.73 per paid room night — that’s approximately 90 lbs of material handling!

This offer is only good for reservations made within IPC’s room blocks while supplies last. Reservations made outside the IPC blocks, even if the IPC blocks reach a “sold out” status, will not be eligible for the incentive. Make sure to book your hotel rooms early! The hotel material handling incentive applies to freight received at the advanced warehouse or at show site, no restrictions apply!

Guidelines:

Exhibitors must apply for this program by submitting the Hotel Material Handling Incentive Form by March 10, 2008. Applications received after March 10, 2008 will not be accepted.

All rooming information submitted is subject to review and verification by IPC Show Management and is subject to adjustments if necessary.

Exhibitors receive a credit in the amount of $11.70 per paid room night within IPC’s block. Only Capital Equipment Manufacturers who are bringing equipment can request a credit in the amount of $22.73 per paid room night - provided a certified weight ticket accompanies the Material Handling Agreement (Bill of Lading) at the time of freight arrival. All shipments must have a bill of lading or delivery slip showing the number of pieces, weight, and type of merchandise. Certified weight tickets are required for shipments with equipment.

Any discrepancies for FREE material handling on the final invoice from the General Service Contractor must be directed to IPC Show Management. The General Service Contractor will be unable to address any issues regarding this incentive.

Now is the time to start preparing your media kits for the show.  Be sure to bring 10-25 copies of your press kits to the IPC Press Office on-site.  The Press Office will be located in the North Convention Center, in the South Pacific G meeting room.

VIP Passes

Imprint Deadline EXTENDED:  March 5, 2008

This effective marketing resource is available to you FREE! Your prospects and customers can visit the exhibitor floor at no charge simply by completing the registration form on the pass and submitting it to IPC.

You can have your company name and booth number imprinted on each pass at no charge so your customers will have advance knowledge of where you will be located at the event.

Distributing VIP passes

  • Use a customized version of the sample cover letter and send to customers and prospects.
  • Include a printed announcement of what you will be displaying at the show.
  • Deliver VIP passes in person. It is a perfect excuse to visit customers you haven’t been able to see in a while.
  • Send VIP passes to your distributors, regional offices and sales people for further distribution.
  • Offer VIP passes during phone conversations.
  • Insert them into mailings, invoices and business correspondence.
  • Include a handy conference brochure in your mailings, as well.
  • Not only are there hard copy passes, but you can download your own electronic copies of the VIP pass in multiple formats:

To place your order for imprinted or generic VIP passes:

  • Go to www.GoIPCShows.org/viporder
  • Enter your Company ID
  • Personalize your passes with your company name and additional message (you can imprint up to 40 characters including spaces)
  • Enter your quantity requested
  • Verify your shipping address
  • Include your shipping account number if you prefer to ship other than UPS ground (domestic) or FedEx international.

You can order additional imprinted passes at any time until March 5, 2008. The VIP ordering system will maintain your order history and UPS tracking number. Shipments will be sent weekly.

After March 5, you can still order non-imprinted passes online.

IPC CCA to hold Golf Outing at Top Nevada Course, Sunday, March 30, 2008

IPC CCA will host the annual golf outing at the Snow Mountain course at the beautiful Paiute Golf Resort. With its spectacular views of the mountains and desert, PGA Magazine calls Paiute “One of the Top Courses in the West.”


The Snow Mountain course was sculpted by world class golf architect Pete Dye. Fairways flank the clubhouse with wide rye grass fairways and no parallel fairways; seven holes have water hazards. “What a difference 3,000 feet can make….With the resort nearly 1,000 feet higher than the famous Las Vegas Strip, enjoy cool summer golf.” Expect April temperatures to be in the mid 80s.

The $200 fee includes 18 holes of golf, GPS-equipped golf carts, lunch, reception and raffle. The course is located 10 miles north of Las Vegas.

NEW! Exhibitor Networking Functions and Meeting Requests

Hospitality Policy - Updated for 2008!

For 50 years, IPC has been consistent in its policy requesting that no one conduct or sponsor hospitality suites at IPC events. In order to facilitate networking, IPC has designated Wednesday, April 2, 2008 after 6:00 pm as a time when exhibitor networking functions may be held. To be considered a networking function, the event must be by “invitation only” and may not take place in a hotel suite or meeting room. Any other function that is not part of the “official program” is prohibited. The prohibited functions may include but are not limited to: banquets, breakfasts, luncheons, parties, hospitality suites, meetings, seminars, technical programs, sporting events, social functions or any other program during the event, from the first meeting to the close of the event. Meetings and networking functions must receive prior authorization from IPC Show Management.  See the Networking Functions and Meeting Requests packet for complete details.

What is allowed?

Providing a place where only employees may eat lunch and/or unwind at the end of the day

  • Staff meetings (training or informational)
  • Sales representative meetings (training or informational)
  • Meetings with your company’s distributors or manufacturer’s representatives
  • Treating a few customers, 10 people maximum (including staff) to lunch or dinner at a public restaurant — not in a hotel meeting room
  • Holding one-on-one customer meetings
  • NEW! Authorized exhibitor networking functions on Wednesday, April 2, 2008 after 6:00 pm (see page 29 of the Marketing Guide for details)

Authorization for your meeting or function must be obtained by completing either the Meeting Authorization Form or the Networking Function Permit Request Form. You will be notified that your request has been received. Please allow five business days for your request to be processed and an authorization

e-mail to be sent. Occasionally, more information is needed in order to process the authorization, which may cause a delay.

Authorization is required in order to finalize any meeting room or networking function. IPC official hotels are obligated, under the IPC contract, to notify IPC of any requests for function space at their property during the IPC Printed Circuits Expo, APEX and the Designers Summit. They will require an authorization letter from IPC Show Management in accordance with the IPC Hospitality Policy. Once you have received an authorization, all further correspondence regarding your meeting space and meeting requirements must be communicated directly with the hotel. You are responsible for booking your own meeting room.

Registration Lists

The vast majority of attendees come to an exhibition with a pre-planned agenda. If you want these potential customers to schedule time to visit your booth, you need to get on their “must see” list. It can be dangerous to rely solely on your location and mere presence at a trade show – you only get a few minutes or even seconds to influence someone walking the aisle. You have the task of getting them to stop walking, and get them talking!

Each exhibitor has the exclusive opportunity to receive a FREE copy of both the 2008 Pre-registered Attendee Mailing list, as well as the 2008 Post-Show Verified Registration list.  The Pre-registered list will be available on March 7, 2008, and will be sent to exhibitors that submit the order form—order yours today!
