Many of the marketing deadlines have passed!

How can I promote my presence?

 

To have a truly successful event, you must maximize your marketing efforts, particularly in the final weeks leading up to the show. The more pre-show marketing you do, the more positive results you'll see.  Below are just a couple ideas of how you can increase your visibility.

Idea 1 - VIP Passes:

This effective marketing resource is available to you FREE! Your prospects and customers can visit the exhibitor floor at no charge simply by following the registration link found on the pass.

Idea 2 - Press Releases:

Submit your show-related press release to IPC Media Relations, for a FREE posting on the event Web site! 

Now is the time to start preparing your media kits for the show.  Be sure to bring 10-25 copies of your press kits to the IPC Press Office on-site.  The Press Office will be located in the North Convention Center, in the South Pacific G meeting room.

Got Badges?

Save time on-site, and register your booth personnel online!  The last day to order badges online in order to have them mailed is Thursday, March 20, 2008.

Who needs a badge? Exhibitors must register all booth staff. No one is automatically registered as booth staff — you are responsible for registering your staff.

  • Register your booth staff today at www.GoIPCShows.org/badges.
  • Select “Register your booth staff now” to access online registration,
  • Select your company name from the drop down menu,
  • Enter your Company ID
  • Be sure to complete all steps in the online registration process.  You will receive an e-mail confirmation after you have completed your registration session.

Exhibitor Badges and Wristbands - On-Site


Wednesday, March 26 – Saturday, March 29, all exhibitors must check-in at the Exhibitor/EAC Check-In desk in the Bayside Foyer, outside of the exhibit hall for a wristband. Badges will not allow access to the show floor during those days. Badges must be verified and given the appropriate badge holder once registration opens on Sunday, March 30. Beginning Sunday, March 30, badges will be required to gain access to the exhibit hall. Exhibitor Registration is located in the Main Registration area, inside the exhibit hall.

Is there a Wednesday evening Gala this year?

In short: No, there will not be a Gala or "It's YOUR Party" event this year.

Why?

The Trade Show Committees recommended that the Gala should not be held, since Las Vegas is a 24/7 "Gala" more elaborate than anyone could ever hope to compete with. 

An exciting Happy Hour Welcome Reception will be held on the show floor on Tuesday, from 5:00 pm - 6:00 pm.  This event is FREE for all registered attendees on the show floor.  Please note:   during the Happy Hour Reception, music will be piped into the exhibit hall, and lights will be cut to half power for the entire hour of the reception.  More information will be available on-site.  Please plan demonstrations accordingly.

In order to facilitate networking, Wednesday evening (after 6:00 pm) is now reserved for pre-approved Exhibitor Networking Functions (Note:  These require prior approval.  Contact SarahMartino@ipc.org for details).

Name Droppers. . . .

The vast majority of attendees come to an exhibition with a pre-planned agenda. If you want these potential customers to schedule time to visit your booth, you need to get on their “must see” list. It can be dangerous to rely solely on your location and mere presence at a trade show – you only get a few minutes or even seconds to influence someone walking the aisle. You have the task of getting them to stop walking, and get them talking!

Each exhibitor has the exclusive opportunity to receive a FREE copy of both the 2008 Pre-registered Attendee Mailing list, as well as the 2008 Post-Show Verified Registration list.  The Pre-registered list will be available on March 7, 2008, and will be sent to exhibitors that submit the order form—order yours today!  Orders must be received by Friday, March 21,2008.

On-Site Information

Exhibit Hall Access

Exhibitors are allowed to enter the exhibit hall from 7:00 am – 7:00 pm during move-in and on show days. If early or late access is required, permission must be obtained from Show Management through the show office and a list of personnel must be provided.

Security Guidelines

Although Show Management provides 24-hour perimeter exhibit hall security, each exhibitor is responsible for their materials, equipment, display, etc., at all times. Do not leave items of value in your booth unattended without taking security precautions. Remember, it is the responsibility of exhibitors to insure their property.

Suitcasing Policy

IPC does not permit solicitation from non-exhibiting companies. Any individual observed participating in activities to solicit or sell products to event attendees or exhibitors without having a booth at the event will be asked to leave immediately. Additional penalties may apply.   Please report any suitcasing activitied to IPC Show Management.

Age Restriction

Individuals under the age of 18 (including infants) will not be permitted on the exhibit floor at any time, regardless of affiliation or circumstances. During the Happy Hour Welcome Reception on Tuesday, April 1, alcohol will be served, therefore no one under the age of 21 will be allowed in the exhibit hall. All individuals (including booth personnel) aged 18-20 will be required to leave the show floor by 4:30 pm on Tuesday, April 1 to comply with facility and state laws.

Alcoholic Beverages

Alcoholic beverages are not allowed in the exhibit hall at any time, except when provided by IPC during the Happy Hour Welcome Reception. Exhibitors are not permitted to serve or consume alcoholic beverages on the show floor at any time during move-in, on show days or move-out. Any alcohol found on the show floor will be confiscated by security.


Photography and Video Recording

Photography and video recording of any exhibit or function is prohibited within the exhibit hall, meeting rooms and lobbies. This applies to exhibitors and attendees. Show Management, the official photographer, and accredited members of the news media are exempt from this rule. Exhibitors are allowed to photograph or make video recordings of their own booth before and after show hours only.

Off-Hours Booth Activity

Private demos are allowed on show days only, during non-show hours. However, IPC Show Management must be notified in advance. Every person entering the hall must have a badge. Attendees must be escorted by an exhibitor to their booth, and escorted out of the hall once the demo is finished. No demos are allowed on Tuesday, April 1.

Exhibitor Service Center

Show Contractor Service Desks (with the exception of Mandalay Bay Exhibition Services) are located in Bayside Hall D, behind the Registration area. The Mandalay Bay Exhibition Services Desks are located between the Business Center and Bayside Hall A (exit the exhibit hall, turn left at the end of the Bayside Foyer, and the desks will be located just past the Business Center).

Move-In

Move-in of all booths must be completed by 6:00 pm on Monday, March 31. All shipping crates and packing materials must be ready for removal in order to allow for a final cleaning of the exhibit floor and laying of the aisle carpet. Any booth not occupied by 3:00 pm on Monday, March 31 will be considered vacant and abandoned; therefore the space is subject to resale at Show Management's discretion.


Empty Removal

Once your crates, boxes, skids, etc. are completely unpacked and empty, be sure to label them with “empty” stickers (available from floor managers and SES concierges) as soon as you are ready for them to be removed. Crate return is not conducted in reverse order of crate pick-up, so there is no advantage to waiting until the last minute to label your empties.

Marshalling Yard

All vehicles (trucks, POVs, etc.) delivering and/or picking up freight must check in the Marshalling Yard before proceeding to the Convention Center docks. The event Marshalling Yard is located approximately three miles south of the Convention Center, at 8801 Las Vegas Boulevard South Las Vegas, NV 89123.

Exhibitor Move-Out Meeting Wednesday, April 2 at 3:00 pm

Islander C meeting room (conference area, lower level North Convention Center). Show Management highly recommends sending a representative from your company to this meeting, preferably the person responsible for the dismantling and move-out of your booth.

Move-Out

No material may be dismantled, packed, loaded or removed prior to 2:00 pm, Thursday, April 3. All exhibits are to be occupied and in operation until this time. Please review the Move-Out Bulletin distributed on-site for complete details.

Move-Out Deadline

Shepard will adhere to the reroute times below in order to clear the exhibit halls by the dates and times dictated by the facility contract:

  • By 7:00 pm on Friday, April 4 in Hall D for booths in aisles 100 through even numbers in the 1400 aisle,
  • By 12:00 pm on Saturday, April 5 in Hall C for odd number booths in the 1400 aisle through aisle 2800.
 
Empty Return

Empty crate return will begin as soon as the aisle carpet is removed and will take approximately ten hours to complete. Remember to take the time a move-out can take into consideration when making your travel arrangements.

Merchandise Leaving the Show Floor

A business card will be required at the point of exit for any material being removed from the exhibit floor, other than material covered by a bill of lading.

Utilities

Utilities and phone lines will be turned off shortly after the show closes at 2:00 pm on Thursday, April 3. If service is required past this time for any reason, advance arrangements must be made prior to Wednesday morning at the Exhibitor Service Center.

Hotel Rooms for 2009 – Special At-Show Price!

Book your hotel rooms at Mandalay Bay for the 2009 event during the event, and receive the special discounted rate of $199 per night! Visit the Hotel Desk in the Show Office for more information. Note: this offer is only for rooms booked at the show. After the event, rates for rooms at Mandalay Bay are $258 per room night.

The Show Office is located near the Main Registration area of the event, inside Bayside Hall D.

Lottery Draw for 2009 Booth Selection

Exhibitors are invited to draw their lottery number for the IPC Printed Circuits Expo, APEX and the Designers Summit 2009 Initial Booth Space Selection. Lottery numbers will be drawn by random selection in the show office, near the Main Registration area of the event, inside Bayside Hall D. Booth space selection will not take place on-site. Only lottery numbers will be selected on-site.

Press Office

The Press Office is located in South Pacific G on the meeting room level of the North Convention Center. Press Conferences are held Tuesday through Thursday, by appointment only. A final press conference schedule is available in the press office.

Business Center

The Mandalay Bay Business Center is conveniently located at the end of the Bayside Foyer, near Bayside Hall A.

Internet Lounge

Located in the exhibit hall, behind the Registration area. Take a minute to catch up with the office so you can focus on the products and suppliers on the show floor. FREE access to computers in a comfortable, convenient spot in the hall.
